Job Overview
Parlor Coffee is seeking a Production Coordinator to orchestrate the seamless success of coffee production and delivery for our wholesale and web order customers. As Production Coordinator, you will continuously develop and maintain relationships with our local and national wholesale customers as a means of remaining in constant contact with their coffee ordering and service needs. You will liaise orders between customers and the production team and you will ensure the team's success in fulfillment of orders. You will work within your role to support the ongoing service needs of all customers in collaboration with our account management team. We are seeking a candidate who is highly self-motivated, possesses excellent time management skills, and is an extraordinary communicator.

Core Responsibilities
  • Support principals, managers and production team with primary assistance on all matters related to production fulfillment.
  • Remain up to date with Parlor’s offerings menu.
  • Manage Parlor’s wholesale hotline.
  • Oversee production supplies inventory for office and production on a weekly basis.
  • Enter order data in roast order documents.
  • Create packing slips and shipping labels for all product shipments.
  • Ensure daily pick-ups are scheduled and completed via UPS, USPS and FedEx for both domestic and international customers.
  • Oversee and coordinate with production team daily to ensure that orders are packed on schedule. Directly assist with production as necessary.
  • Send shipment tracking to wholesale and web store customers when applicable.
  • Oversee sample distribution to local and national accounts. 
  • Organize and pack orders for local delivery at end of roast days.
  • Onboard all new accounts to Parlor's online ordering system.
  • Manage Parlor’s web store coffee subscriptions.
  • Create all invoices, with extremely diligent maintenance, in pursuit of 100% accuracy.
  • Process all credit card payments with Quickbooks.
  • Oversee weekly review of accounts receivable with principals.
  • Issue and record customer applications for seamless onboarding of all new accounts.
  • Maintain and file physical copies of invoices weekly.
  • Physically deposit payments at local bank branch.
