2017 Athens Farmers Market Job DescriptionGENERAL QUALITIES
• Emotional maturity
• Ability to effectively communicate with a broad array of people
• Strong small business acumen i.e. budgeting, pricing, customer service
• Computer skills:
• Quickbooks
• Professional and very responsive emailing
• Excel
• Squarespace
• Mailchimp
• Adobe Illustrator for layouts and basic design work
• Passion for and extreme commitment to local food
• Able to haul large loads in personal vehicle (ideally a van or pickup)
• Able to lift at least 50 lb. multiple times
OFF SEASON DUTIES
• Finalize books with treasurer and submit to accountant
• Prepare year end reports for Wholesome Wave Georgia (WWG)
• Prepare upcoming season’s budget plan
• Prepare token and patronage presentation for annual vendor meeting
• Schedule annual meeting and share info with previous season’s vendors via Mailchimp
• Assist board in updating vendor applications and policy documents
• Post these docs on website on Feb 1st
• During January and February, review, and schedule if appropriate, market programs for
upcoming season
• Merchandise
• My Market
• SNAP doubling
• Fresh Food Bus
• Special events
• Fund raisers
• Pop-up Kitchen
• Meet with advertising committee to review past season and plan for new season
• Establish support staff for upcoming season
• Create new market season’s item list in Quickbooks for application processing
• Assist board in choosing new vendor roster for upcoming season
• Process applications into invoices and schedules
• Finalize preparations for market season
• Distribute promotional materials in community
• Ramp up social media and begin advertising
• Buy supplies as needed
• Meet with merchandise vendor to review sales and place orders
• Map out layouts for upcoming season markets
• Update website and social media
• Negotiate and sign off on annual rent agreement for Bishop Park pavilion
ON SEASON OPERATIONS
• Create Market layouts for each week
• Send Mailchimp messages including layouts 24 hours prior to each Market day
SATURDAY MARKET (approx. 6am to 3pm)
• BEFORE (arrive by 6am):
• Load main market bin, music gear, kids activity supplies, other supplies, and cart
• Distribute materials from market shed
• Set up merchandise and token booth
• Set up pop-up kitchen/cooking demo booth(s)
• Inspect market setup and ensure compliance with rules and regulations
• Set out market signage
• Finalize token and merchandise booth by 7:50am
• DURING:
• Responsible for token system, My Market program and merchandise program
• Maintain oversight of market including enforcing rules/regs
• Post 2-4 Instagram entries per market, and share to Facebook
• Engage customers
• Cash out tokens and write token checks to vendors
• AFTER, WHILE AT MARKET:
• Manage breaking down market.
• Pack shed, retrieve signage and cones and sweep market area for trash
• Prepare market receipts for later processing
• Take inventory of all market materials.
• AFTER, AT HOME/OFFICE
• Countdown cash box, withholding $300 in start cash for next market
• Process sales receipts, vendor payment and any other income (fundraisers,
sponsorships, etc)
• Prepare bank deposit
• Enter checks written at market in Quickbooks
• Complete and submit market report for WWG
WEDNESDAY MARKET (approx. 2pm to 9pm)
• Duties same as SATURDAY MARKET except for loading up Wednesday market supplies
at Bishop Park shed, transferring to Downtown Market at Creature Comforts Brewery
and returning supplies back to shed AFTER MARKET
MARKETING
• Maintain website
• Update content as needed, harvest list once per month and policies and bylaws at
start of season
• Upload new vendor applications when ready
• Enter in every market day as a new event, update as things change
• Maintain all social media accounts
• Post on Instagram shared to Facebook every Wednesday morning promoting the
Wednesday market and every Friday morning promoting the Saturday market
• Work with AFM artist and create annual market poster as basis for all annual marketing
materials
• Place orders for printing posters and postcards
• Update Mailchimp lists for vendor email and patron emails
• Send patron email via MailChimp every week
• Update music, harvest list and news and headline copy
• Reply to market emails via form submission
• Participate in all interviews or press opportunities.
• Prepare and send press releases for important market news
FUNDRAISING
• Create and execute Annual Autumn Harvest Feast
• Create and execute Annual Good Food Block Party
• Per board established goals, pursue grant opportunities
• Organize and manage sponsorship efforts
• Write and submit annual ADDA grant proposal
OTHER DUTIES
• Any tasks/projects delegated by board
• Maintain positive relationship with ACC Leisure Services officers and staff
• Track any damage to supplies and equipment and repair or replace as needed.
