Job description
We are seeking a Public Relations and Marketing Assistant to join our team.
The Public Relations & Marketing Assistant will provide administrative support to the Public Relations & Marketing Department at Union Square Hospitality Group. The successful candidate for this important role is an excellent communicator, organized, and loves proactive problem-solving. This person is also versatile and eager to help shape brand communications in a fast-paced work environment. This role is ideal for an individual who would like to learn about the entire scope of an organization’s strategy to share its story with guests and the public in New York and beyond. This position reports to the Directors of Marketing and Public Relations.
Key Responsibilities
- Maintain administrative systems, including subscriptions, expenses, invoices, budget, and files.
- Proactively drive preparation for recurring meetings, including scheduling, agendas, document prep, and set-up.
- Fulfill internal requests for materials.
- Maintain inventory of brand assets, including photography, fact sheets, bios, awards, press clips, reports, logos, guidelines, and graphics.
- Create and maintain system for tracking and archiving photo, media, talent, and partnership contracts.
- Regularly compile and distribute business holiday schedules, closures, and special offers.
- Maintain Department budget and track Department spending; file expenses.
- Play an active role in tracking and advancing projects and ensure that deadlines for deliverables are met.
Public Relations Support
- Maintain press coverage library and records; obtain, clip, and distribute press coverage.
- Help maintain PR & Marketing Calendar.
- Help create itineraries for festivals and out-of-town events.
- Help fulfill media requests for press kits, bios, and photography.
- Help facilitate photo shoots, interviews, and events.
Marketing Support
- Use content management system to perform basic web updates.
- Assist with correspondence, scheduling, and deliverables with digital vendors, creative firms, and event vendors to support Marketing initiatives.
- Assist with copywriting for brand assets and communications.
- Research vendors and source products for Marketing collateral creation.

- Advanced in Microsoft Office (Outlook, Word, Excel, and PowerPoint are necessary)

- Baseline knowledge of Adobe Creative suite is a plus.

Education and Work Experience
- Bachelor's Degree Required.
- Work experience via internships and/or 1-2 years full-time employment.
- Hospitality Experience in the hospitality industry is a plus.
