EVENTS AND ADMINISTRATION COORDINATOR
Part-time position: 20-25 hours a week
Location: Oakland, CA

Author and sustainable food advocate, Anna Lappé, and Real Food Media are seeking a part-time Events and Administration Coordinator to work out of their offices in Oakland, California. Real Food Media, housed at Corporate Accountability International, is a collaborative initiative working with partners around the country to spark conversations about our food system, catalyze creative storytelling about sustainability and justice along the food chain and connect communities for action. Current projects include:
  • Real Food Films: an international short films competition, online film library and resource center for Pop-Up Film Fests around the world (see more at realfoodfilms.org)
  • Food MythBusters: an online action center with resources to combat the most persistent myths about our food system (see more at foodmyths.org);
  • Small Planet Fund: a small grantmaking program supporting grassroots groups around the country tackling the root causes of hunger (see more at smallplanetfund.org);
  • Public Engagement: including monthly and quarterly columns as well as in-person speeches, webinars, workshops and more by Anna Lappé (see more at annalappe.com);
  • Special Partnerships: changing year-to-year, these partnerships include Voices of the Food Chain with our colleagues at the Food Chain Workers Alliance.
Hours: Flexible days and schedule, prefer full days Mondays and Tuesdays in our Oakland office.

Location: 22nd Street and Broadway, Oakland, California and remote.  

Job Description: This position is the go-to person for project administration, support for our development work as well as handling details for all our events, both ones we produce ourselves and ones that we participate in, including conferences, webinars and workshops—about 25 to 40 a year. In addition, this candidate helps administer a small grantmaking program and provides other support for Anna Lappé’s work. Candidates must be adept at managing multiple deadlines as well as back-end administration tasks. A successful candidate will be familiar with our work and excited about being part of a small team with big impact. 

PRIMARY RESPONSIBILITIES

Administrative and Program Support, including:
  • Responding to all email and phone inquiries and managing CRM system and email lists;
  • Tracking team tasks and reporting to Directors;
  • Tracking submissions to the Real Food Films contest and supporting engagement with media partners, judges and advisors.
Event Production and Support, including:
  • Responding to speaking requests for Director and coordinating travel and logistics; 
  • Publicizing events via listserv and social platforms and supporting event hosts in other ways as needed and managing all event follow-up and further engagement;
  • Helping coordinate and oversee logistics for Real Food Media hosted or co-hosted events. 
 Finance and Development, including:
  • Administering monthly budget projections, tracking cash flow, and processing checks and invoices;
  • Supporting Directors with preparing funding proposals, tracking deliverables and preparing reports; 
  • Supporting Directors with individual and online donor support and other revenue streams. 
 Small Planet Fund Administration, including:
  • Coordinating with RSF Social Finance to administer, track and report on the Small Planet Fund grantmaking program, totaling $100,000 a year.
 REQUIREMENTS
  • Passionate about exposing the impacts of chemical agriculture and raising up the voices of those working for greater justice and sustainability in the food system;
  • Familiarity with administration of a small non-profit or business;
  • Strong communication skills and attention-to-detail;
  • High degree of competency using Excel and Word;
  • Self-motivated, highly organized team player with a collaborative spirit;
  • BA or MA in a field related to food or agriculture and/or business or non-profit administration and/or communications.
 HELPFUL
  • Familiar with event planning and logistics;
  • Familiar with on-line sharing systems, like Box, and tracking systems, like Asana;
  • Speaking and writing in another language;
  • Familiar with WordPress or design programs like Illustrator;
  • Experience in grant writing and reporting;
  • Familiarity with other tools we use, including: Slack, Mailchimp, Insightly, Google Apps, SproutSocial/Online Data Analytics. 

Compensation: Contractor position at $25.00/hour. Must have own computer.
