EAT REAL EVENT MANAGER OAKLAND – JOBDESCRIPTION
The Event Manager is responsible for managing the Eat Real Festival, a multi-day food festival in Oakland at Jack London Square on the 22nd, 23rd & 24th of September 2011. The Event Managerʼs job will include managing event staff, food vendors, the craft marketplace and all programming development and implementation for Craft Skills and D.I.Y. stages and areas. The Event Manager will also be responsible for managing other non-food based programming such as live music, associated programming such as the Literary Festival and non-profit partner and community organization involvement.
RESPONSIBILITES INCLUDE
• Maintain event budget and work with Operations Manager to implement all invoicing and bill paying procedures.
• Staff management of Event Coordinator, Grassroots Outreach Coordinator and Vendor and Program interns.
• Work closely with - Food Vendor Curator, Marketing/Sponsorship Director, Production Manager, Volunteer Manager and Event Director to coordinate production calendars, marketing calendars and insure that deadlines are met and budgets maintained.
• Management of street food and craft food vendors.
o Work with Food Vendor Curator to develop list of participating food vendors, finalize menus and guarantee procurement procedures.
o Work with Event Coordinator to develop Craft marketplace.
o Work with Event Coordinator and vendor intern to contract with all participants and oversee collection of fees, insurance documentation & health permit info.
o Work with vendors to make sure that they understand the need for vehicles or appropriate food set-up.
o Works with vendors to insure they navigate the health permit process correctly.
o Compile vendors and programming on site needs and transfer information to Production Manager.
• Development and management of craft skills and DIY Foods programming.
o Create food programming for demo stage and workshop stages including scheduling, logistics, budgeting and outreach to community groups and organizations.
LOGISTICS
• Work with Production Manager on budgeting, technical needs of event, scheduling and staff needs.
• Work with Production Manager and Vendor Curator on placement of food vendors.
• Problem solve and handhold vendors on site. • Oversee all programming on site.
• Ensure site fees are collected from each vendor.
• Send out vendor Thank You letters and follow up surveys.
DESIRED SKILLS AND EXPERIENCE
• Experience in and knowledge of multiple aspects of the sustainable & local food movements.
• Experience with the Bay Area and particularly the Oakland local food scene - producers, foragers, canners, community food advocates, farmers, etc…
• Demonstrated event-planning experience, including the key duty areas mentioned above.
• Excellent organizational skills; strong attention to detail; ability to stay focused in busy work environment.
• Experience negotiating with vendors and comfortable enforcing contracts requirements, agreed payments, and promised levels of service.
• Excellent written and oral communication skills.
• Ability to work effectively with diverse groups and communities.
• Ability to take initiative, solve problems and work collaboratively with other staff members.
• Ability to speak Spanish a plus.
This is a contract position that pays $4000 a month. The contract goes from April through the end of September, with the first two months part-time, and beginning full time in June.
