HIP Agriculture operates a thriving educational farm and ecological learning center that cultivates tropical and rare fruits, Polynesian traditional crops, and market garden vegetables. This living, diverse collection includes fields of food grown in rows, a nursery, and polyculture forests. The farm serves as an outdoor classroom for learners of all ages, hosting Regenerative Farmer Training Programs, Farm Field Trips, Community Workshops, and Farm-to-School classes.

Job description
Position Summary:
The Hawaiʻi Institute of Pacific Agriculture is seeking an organized, passionate, and results-driven Program Logistics Manager to coordinate the logistical and operational aspects of our educational and agricultural programs, including HIP Agriculture’s farm-to-school pipeline (i.e., K-12 Farm Field Trips, Middle School Campouts, High School Internship and Mentorship Programs), Residential Apprenticeship Program, Local Instructional Farmer Training, and our forthcoming initiatives such as the Soil Development Amendment Program and the Conservation Innovation Grant (CIG) Soil Conservation Project. The Program Logistics Manager will play a critical role in ensuring that Co-directors and staff meet performance measures, collect necessary data, and keep programs on schedule. The Program Logistics Manager will handle day-to-day tracking, coordination, and communication, ensuring that all projects run smoothly. The ideal candidate has experience managing multiple projects, strong organizational skills, and a commitment to supporting regenerative agriculture through effective program management.
Key Responsibilities:
- Project Coordination and Support: Coordinate day-to-day operations of HIP Agriculture’s programming, ensuring project directors and staff adhere to timelines, performance measures, and deliverables.
- Farm-to-School Pipeline: Ensure activities such as field trips, mentorship programs, and campouts are properly scheduled, supported, and documented.
- Residential Apprenticeship Program: Manage recruitment and ongoing support of training program participants. Track apprentices’ progress, manage logistics related to housing, field trips, and training schedules.
- Local Instructional Farmer Training: Assist in organizing workshops, field support, and technical assistance, ensuring smooth logistics and data collection.
- Soil Development Amendment Program: Oversee the implementation of soil amendment production, ensuring materials are distributed to farmers on schedule, and track participation and results.
- Conservation Innovation Grant (CIG) Soil Conservation Project: Provide logistical support such as material deliveries, field trial schedules, and coordination of peer-learning workshops.
- Collaborate with the Co-Directors, Administrative and Operations Assistant, community partners, and key stakeholders to align program goals with farm activities, creating a cohesive and supportive learning environment.
- Ensure all data collection activities are completed on time, including attendance, participation, and feedback surveys, to monitor and evaluate program success.
- Maintain an up-to-date calendar of all program activities and field operations, ensuring alignments across programs.
- Data Collection and Communication:
- Serve as the key connection between Co-Directors, Administrative and Operations Assistant, community partners, and key stakeholders to ensure all data related to program activities is accurately collected and made accessible for grant-writing and evaluation purposes.
- Regularly communicate with the Co-Directors and the Administrative and Operations Assistant to provide the most up-to-date program data, ensuring that program activities align with grant deliverables and performance measures.
- Ensure that program staff have the necessary tools and support for data collection, including surveys, feedback forms, and attendance records.
- Maintain strong communication with external partners, including schools, local farmers, and community organizations, to ensure their participation and satisfaction with program activities.
- Logistical Support:
- Coordinate logistics for events, workshops, and training sessions, including material preparation, site set-up, and participant communication.
- Handle travel logistics, including booking accommodations and arranging transportation for field trips, apprentices, and program staff.
- Ensure all equipment, materials, and supplies are available for program activities, collaborating with the farm team and other staff as needed.
Qualifications:
- Bachelor’s degree in Business Administration, Public Administration, Project Management, Agriculture, Nonprofit Management, or related field preferred but not required.
- Minimum of two years in program coordination, project management, or logistics, preferably in agriculture, education, or nonprofit settings preferred.
- Strong skills in data tracking, performance measurement, and report preparation.
- Demonstrated experience managing multiple projects simultaneously with attention to detail and deadlines.
- Excellent communication and organizational skills, with the ability to collaborate with various stakeholders.
- Ability to work independently and as part of a team, managing logistics in a fast-paced environment.
- Proficiency with Google Workspace (Sheets, Docs, Calendar) or similar project management tools.
- Travel between work sites on a weekly basis (valid driver's license required).
Work Environment:
- Requires regular indoor and outdoor work in varying weather conditions.
- Ability to lift 50 pounds and perform physical activities such as bending, lifting, and repetitive motions related to farm operations.
- Must be able to work 8-hours in the field, supporting program activities and logistics.
Compensation
