About the role
The Sales Assistant supports 4P Foods’ wholesale account managers in day to day administrative activities to ensure smooth and accurate customer service, order creation and fulfillment. As such, they will be responsible for and trained to support the 4P Foods sales team in several critical aspects to our sales process
Responsibilities
Including but not limited to:
- Handle email and phone inquiries related to wholesale orders, product availability, and delivery issues, often in tandem with the Account Manager. Keep customers informed about any changes such as product shortages, swaps, or delivery delays.
- Enter wholesale and pre-order items into 4P’s inventory management system (Fishbowl), ensuring accurate part numbers and tracking standing orders. Make adjustments as needed for timely and accurate customer fulfillment.
- Verify inventory availability before order fulfillment, resolving any issues with missing or incorrect products in coordination with the warehouse team. Alerts Sales and Procurement teams about out of stock products. Assist account managers with product par setting and availability list updates
- Collaborate with the logistics team to provide customers with delivery updates and address any product quality issues, coordinate the processing of credit requests as necessary.
- Maintain standing orders and pre-order trackers, update pricing based on customer groups, and assist account managers in tracking sales trends and developing growth strategies.
- Assists Account Managers in maintaining up to date account information including contacts, delivery windows, and special instructions
- Bringing feedback and suggestions for how to improve processes and reach quarterly sales targets.
Required Skills/Abilities:

- Strong time management skills with a proven ability to meet deadlines.
- Ability to prioritize several simultaneous time sensitive tasks.
- Proficient with Microsoft Office Suite and Google Suite. Spreadsheets and Google Sheets specifically.
- Ability to analyze and interpret data as it relates to inventory movement and across multiple sources of information.
- Ability to quickly learn inventory management software, product codes and company terminology.
- Ability to learn and implement sales policies and procedures
- Good analytical skills and ability to make sound judgments relative to customer service
- A sense of humor and growth-mindset.
Physical Demands and Work Environment:
- Prolonged periods of being at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Must be able to access all areas of the warehouse.
Education and Experience:
- High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.
- At least three years of administrative or sales experience.
- At least two years of customer service.
