Job description

The Program Manager will support the Programs Team in planning, organizing, and managing aspects of Rethink Food’s response to asylum seekers under a contract managing emergency meal service across New York City. This role will require support in planning and monitoring the project, adopting any delegation and use of project assurance roles within agreed reporting structures. 

Rethink is responsible for serving three meals, a healthy snack, and beverages seven days a week and coordinating the delivery, receiving, storing, and distribution of the meals. Rethink works closely with site management teams and other vendors to deliver high-quality and culturally responsive meal programs to a growing portfolio of shelters that cater to migrant populations. Our model is uniquely positioned to allow rapid and highly targeted responses to the continuously changing needs of the diverse populations we serve. 

Rotation of night and weekend coverage will be required. Travel to sites throughout the five boroughs will be required.

RESPONSIBILITIES

  • Organize and coordinate logistics for meal delivery and service across different contract sites.
  • Collaborate with team members to identify and troubleshoot program-related issues, provide effective solutions, and achieve program objectives.
  • Communicate effectively with stakeholders to inform them about program updates, issues, and resolutions.
  • Participate in the RTS weekly on-call coverage rotation schedule (expected to support on some nights and weekends); input nightly par counts and communicate notes to partners.
  • Manage all requests related to order increases, decreases, substitutions, or delivery issues.
  • Maintain accurate records of on-call activities, issue resolutions, and logistics coordination.
  • Order inventory for HERRC sites on a daily basis.
  • Support on-site staff to ensure on-site teams are safely and effectively receiving, storing, serving, and recovering all meals provided to the site.
  • Document and track issues/incidents in the Incident Tracker, along with follow-up details and resolutions
  • Cultivate and maintain strong relationships with restaurant partners, on-site staff, and other stakeholders.
  • Assist in updating schedules, managing par levels 
  • Support the RTS team through the education and onboarding process with future sites and meal-making partners to ensure support and clarity at all execution levels.
  • Lead the onboarding and go-live process for new sites.
  • Conduct detailed operational training sessions for meal-making partners and on-site teams, focusing on contract compliance and operations
  • Monitoring and confirming partner participation and accuracy in submitting required data via external-facing meal confirmation app
  • Establishing and communicating to Programs team leadership par counts, leftover counts, temperature logs, and other daily and weekly reports as requested.
  • Work closely with partner networks to ensure on-site catering teams are safely and effectively receiving, storing, serving, and recovering all meals provided to the site. 
  • Liaise with contracting agencies and on-site staff to ensure food safety standards and quality controls are documented and followed.
  • Collaborate with the Operations team on recovery, safe storage, and handoff of unserved meals to be redistributed within our network.
  • Maintain close contact with representatives from contracting agencies and other on site agencies, and represent Rethink Food in on-site and other meetings as needed.
  • Collaborate with teams across the organization on projects serving as a resource for RTS related information.
  • Conduct tours at RTS sites for other Rethink team members.
  • Complete other duties as assigned.

 

QUALIFICATIONS

  •  GED/High School Diploma and at least four years of relevant work experience is required.
  • Minimum 2+ years experience working in the non-profit,  hospitality/ food service industry, or related field.
  • Experience in Google Suite and Slack; Salesforce experience preferred.
  • Strong background in NYC Department of Health education- Food Handlers License required
  • Must have experience in relationship management or customer service.
  • Ability to act with professionalism and sensitivity while maintaining confidentiality.
  • Positive attitude, self-confidence, and excellent interpersonal skills.
  • Holds a solution-oriented, strong operational mindset.
  • Strong organizational, time-management, and problem-solving skills
  • Excellent verbal and written communication and project management skills
  • Must be willing to travel to multiple sites across the NYC area. 
  • Flexible and adaptive to effectively manage changing priorities and new opportunities.
  • Ability to work proactively and resourcefully, both independently and within a fast-paced, highly engaged team; experience working with starts-ups preferred.
  • Takes a solutions-based, collaborative approach to drive change in work and navigate challenges.
  • Must embrace the mission and core values of Rethink Food. 
  • Must be able to stand, bend, stretch, lift, and carry heavy materials up to 50lb.
  • Spanish proficiency preferred.
  • 3 - 5 years experience as a manager or team lead in high-volume catering operations.
  • Valid Drivers License and willing to drive company vehicle needed to complete job duites

This position is non-exempt from overtime pay. Hours will be track and overtime will be paid, accordingly. 

Compensation

this position is: salaried, varies DOE, $60,000.00 - $75,000.00
