ABOUT PROJECT EATS
Founded in 2009 by artist Linda Goode Bryant, Project EATS (PE) is a living installation of art, food, and human ties.
MISSION
To create networks of community-based food systems in urban communities that have limited or no access to fresh nutritious food. PE food systems grow, harvest, package, process, transport, market, and work to increase the consumption of food that nourishes people in the neighborhoods and housing communities where they live.
VISION
Every neighborhood and community develop and sustainably operate food systems where they live and that these systems are key to the ability of residents to transform their communities into vital hubs of production, distribution, creativity, innovation, and wellbeing where they live healthy lives and thrive.
GOAL
PE is a catalyst, inspiration, and support of people using whatever resources they have to create the conditions they need to have healthy lives, well-being and thrive in their communities regardless of their level of income or financial wealth.

Job description
Overview of Role
The Executive Assistant will work with our engaged and active Founder and CEO to ensure communication to and from her desk is responsive, professional and timely. That all functions that come from her area are organized and efficient from her calendar, emails, updates, to Board meetings and partner and client meetings.
Specific responsibilities include:
Administrative responsibilities:
- Management of Presidents calendar of internal and external appointments and meetings
- Review of incoming emails to ensure timely response and flagging of important information
- Preparation for meetings (agendas, document and presentation preparation)
Financial tracking and management:
- Manage internal and external financial reporting to include: updating quickbooks and coordinating financial reports with our external accounting firm and auditors
- Budget preparation, management and tracking; recording expenses and income against plan and goals
- Processing of all internal and external A/P, A/R that is sent to our external bill paying processor
- Handling the purchasing and purchase order process for PE
- Coordinating annual audits with outside auditors
- Finalizing and updating budget for quarterly and annual reports as well as board meetings and senior management meetings
Payroll and Benefits Administration
- Process and manage payroll including salaried, hourly and IC employees
- On-board new employees processing new hire paperwork and managing the enrollment process for health care and other employee benefits
Office Management
- Ensure the office is efficiently managed to include but not limited to:
- Ordering and managing supplies
- Managing vendors (internet, building maintenance, water, carting co for example)
KEY DUTIES AND RESPONSIBILITIES:
- Coordinate complex scheduling and calendar management for President
- Manage logistics and activity requests
- Monitor President’s email inbox and timely responses
- Provide administrative and office support
- Maintain professionalism and strict confidentiality with all materials

Compensation
this position is: salaried, 50k-75k
