POSITION AVAILABLE: OFFICEMANAGER & BOOK KEEPER
Flying Pigs Farm, L.L.C. Shushan, New York 12873 (Washington County)
THE POSITION
The person in this position is responsible for making sure that the farm’s books are meticulously maintained and kept up-to-date at all times; that customer inquiries are answered promptly and their needs are met with a smile; and that the farm’s administration (calendar, supplies, records) is well-organized and operates smoothly. The person in this position must be committed to total accuracy in book-keeping. He or she must enjoy paying attention to the details that make for a successful and well-managed office. This person must be organized, self-sufficient, and able to work with little supervision. He or she must be able to prioritize and anticipate administrative needs. To best serve our valued customers, this person must be out going, cheerful, and happily willing to “go the extra mile” to provide stellar customer service via phone and email.
The Office Manager & Book Keeper is a full-time position. Flexible hours may be arranged. The Office Manager & Book Keeper reports to the farm’s owners. He or she is part of a team that includes a Farm Manager and Livestock Staff, and the farm’s representatives at Greenmarkets in NYC.
Specific Responsibilities:
Book Keeper(about 45 percent time): Prepare and process accounts payables and receivables. Prepare and process payroll. Prepare quarterly reports for New York State payroll taxes, and monthly reports for federal taxes. Prepare P&L statements, balance sheet, cash flow, and budget for regular meetings with owners. Prepare and make deposits. Assist with annual tax filing. Budget forecasting. Monitor budget and expenses.
Office Management (about 25% of time): Maintain files. Order and maintain supplies. Maintain farm calendar. Advertise, book and facilitate on-farm apartment rental. Support Farm Camp program as needed.
Customer Service(about 30% of time): Pack, process and ship mail orders using UPS World Ship. Maintain web site. Answer phones. Respond to telephone, email, and social media inquiries. Run errands as necessary. Maintain customer database. Coordinate regular e-newsletter. Coordinate and process mailings. Coordinate social media. Related duties as assigned.
Candidate Requirements: 3-5 years of office management experience is required. Associates degree required, Accounting, Finance, or Business Management is preferred. Proficient in Quick Books and Excel.
Compensation: This is a salaried position. Compensation is commensurate with experience. Flexible hours are possible. Health insurance offered. Two weeks paid vacation in first year. Three weeks after first year.
