Overview of the Position:  The Food Business School is seeking a smart, quick and committed individual to serve as the Executive Assistant to the Dean of The Food Business School. We are looking for an experienced executive assistant who views this as a strategic role and is hoping to stay in the role for several years. We seek someone who is “high-touch” in their communication skills and knows how to strategically manage an executive’s calendar to align with his priorities. With exceptional relationship management and diplomacy, the Executive Assistant manage communications with a range of high level individuals in the food and business worlds.

This is a paid, part-time position that can mostly be performed from home / telecommuting. The EA will need to be in Northern Sonoma County 1-2 days per week for face-to-face meetings.

Responsibilities:
  • Book and manage all travel logistics
  • Handle relationships and communication needs of the Dean
  • Gatekeeping: managing the Dean’s calendar and priorities, with the ability to diplomatically re-route or say no to protect his time
  • Assess speaking engagement opportunities, including finding out more information, negotiating details, and handling any PR needs
  • Organize and host events
  • Coordinate with assistants of other executives to
  • Support the development of strategic partnerships and manage fundraising processes and relationships
  • Ensure confidentiality at all times
  • Pitch in with other administrative or organizational needs as required

Skills / Qualifications:
  • 4+ years stable administrative experience, with at least 2 years executive experience
  • Experience managing priorities and calendaring for an executives
  • Excellent execution – a perfectionist. A proofreader. A neatnik.
  • Meticulous relationship management experience. Experience with on-line CRM tools very helpful.
  • Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimum direction.
  • Keen attention to detail with ability to track and manage multiple projects at one time
  • Proficiency with Microsoft Excel, Word and PowerPoint / general computer literacy
  • Ability to update and develop presentations and materials
  • Demonstrated ability to coordinate and facilitate the completion of large administrative projects in a timely manner, including meeting strict deadlines
  • Self-starter with demonstrated ability to work both independently and within a team
  • Experience managing up and dealing with high level executives
  • Excellent judgment, discretion, and diplomacy
  • Interest/passion and experience in food systems and entrepreneurship a plus.
