Job Description Operations and Communications Coordinator

The Operations and Communications Coordinator is responsible for operations and administration across Edible Schoolyard NYC, including: maintaining organizational systems; coordinating ESYNYC’s human resources needs; maintaining a professional office environment that meets staff’s work needs; providing project support to senior management; providing support to development projects, and managing communications across the organization. The position reports to the Executive Director of Edible Schoolyard NYC. 

Edible Schoolyard NYC partners with public schools to build gardens and kitchen classrooms where children can engage in hands-on learning. The objective is to transform the hearts, minds and eating habits of young New Yorkers through an integrated seed-to-table education. 

Responsibilities include but are not limited to:  

OPERATIONS/ADMINISTRATIVE/FACILITIES MANAGEMENT
  • Provide basic tech support and troubleshooting for entire organization and coordinate with IT consultant to provide other tech support as needed
  • Answer phones, greet visitors, screen and direct calls
  • Complete general office work
 and act as office manager, maintaining and managing the Dumbo office.   
  • Coordinate office services, supplies, repairs and requests as needed
    
  • Manage filing system and prepare office files for audits, as needed.
  • Coordinate with ESYNYC’s accountant to ensure all invoices and bills are paid and recorded in a timely manner, and work with entire staff to ensure all purchases are recorded and accounted for in the budget each month

  • Maintain internal budget and accounting files, coordinating and reconciling with financial comptroller on a monthly basis
  • Maintain and manage administrative budget
  • Manage all files related to finances, HR, contracts, etc
  • Coordinate and manage shared information systems (server, calendars, email, etc.)
  • Maintain program content, such as recording and maintaining quotes and photos database
  • Respond to inquiries from prospective supporters and general public.

 HUMAN RESOURCES
  • Ensure that all new volunteers and employees complete the required orientation and on-boarding processes and keep onboarding materials up to date
  • Maintain up-to-date office and HR filing system, including confidential materials.
  • Coordinate regular team building events, such as staff meetings and retreats for ESYNYC staff, as directed by the Executive Director
  • Provide Human Resources support and information for staff
  • Participate in events and community outreach efforts.
  • Maintain and manage relationships with HR vendors, including health insurance, etc and keep all employee benefit systems updated
  • Manage and update Employee handbook
  • Maintain employee vacation schedule and log
 STAFF SUPPORT
  • Work closely with Program Coordinators to ensure smooth operations at each School
  • Provide proofreading, copy editing, and collaborative services to all staff
  • Collaborate and support Development and Events staff as needed, including attending evening and weekend events on occasion.
  • Provide administrative support to the Executive Director with scheduling, expense reports, travel arrangements and systems
  • Perform other administrative duties and projects as assigned by the Executive Director 
  • Maintain calendar of Board meetings and support Executive Director in preparing Board materials
  • Participate in and/or aid in scheduling Board and staff meetings and performance reviews and maintain minutes of key meetings
  QUALIFICATIONS
  • Experience in an office setting preferred
  • Highly motivated to learn the inner workings of a development office in a small non-profit organization
  • Demonstrated ability to troubleshoot IT challenges
  • Highly organized and able to prioritize tasks
  • Systems oriented
  • Ability to work with frequent interruption and to simultaneously supervise a variety of tasks
  • Ability to solve challenges in a timely and creative manner
  • Positive, can-do attitude
  • A personable, positive and professional demeanor

  • Willing to work some nights and weekends
  • Bachelor’s degree required.
  • Proficient with Microsoft Office Suite

SALARY & BENEFITS
Starting salary is in the low to mid 30's.  We offer a comprehensive benefits package with healthcare, 401k, and a generous vacation policy.
